For detailed custom Business Central API integrations it is often recommended that the API consume a Dynamics 365 or Power Platform named users, or a "Full Business Central User" and a Full “Microsoft 365 Business Standard or Higher user”. The Best practice is to have the ‘extra user’ for dev and production but with a restricted level of access to specific transactions. A lower cost approach is to use (share) credentials from a Full user from your Finance or IT team, but if that person leaves then you will need to transfer to another authorized user causing potential downtime. This transition can also cause issues with Flow (Power Automate), and other Power Apps with connections dependent on the use credentials.
